The scope of the call is the provision of services related to the organization of corporate events such as but not limited to:
- Selection and booking of venues;
- Selection, organisation and booking of transport/transfer/shuttle services (rail, air, cars, buses, or minivans) related to an event;
- Selection, organisation, booking and purchasing of accommodation related to an event;
- Organising meals, coffee breaks and catering;
- Hiring of the necessary technical equipment, if not available at the venue, including provision of all necessary logistics and telecommunication services, provision of interpreters and related equipment;
- Preparation of conference kits, onsite coordination and logistics, management of participants, local assistance and other events staff, etc.

Possible increase of FWC ceiling In accordance with point 11 of Annex I of the GFR, Fusion for Energy may use the negotiated procedure without prior publication of a contract notice in order to award new contract(s) consisting of a repetition of similar works or services to the contractor chosen as a result of the present call for tender, in which case the amount to be awarded under that procedure will not exceed 50% of this contract (i.e. 700 000,000 EUR). Such a right will be exercised by F4E in case/event that/should any but not only of the following circumstance occur: in case new scope of activities of F4E, increasing involvement of external actors (e.g. fusion laboratories, SMEs, activities linked to the Industry Policy) would increment the number of events to be organised. The tenderer is requested to commit to participate in such procedure, if used by Fusion for Energy, by indicating its commitment in the cover letter.
